Review the Sample Path Before You Start
Every sample project begins with a review of the product, customization and delivery requirements. Applicable terms are confirmed before sample work begins, so you can understand the scope before deciding whether to proceed.
Sample Availability
Availability is checked for the selected style and requirements. A product image or website listing does not by itself confirm a reference sample is ready to ship.
Sample Cost
Any sample fee is stated in the sample quotation before work begins, based on the base style, materials, decoration, labels, packaging and development required.
Sample Timing
The estimated sampling schedule is confirmed after requirements and artwork are reviewed. The starting point is stated with the sample quotation.
Shipping
Shipping method, destination details and applicable cost are confirmed separately. Duties or taxes, where applicable, depend on destination and shipping terms.
Credit or Refund
Any applicable sample-fee credit or refund will be stated in the approved sample quotation. Do not assume it unless included in writing.

A sample gives your team a physical reference for decisions that are difficult to settle through product images or descriptions alone. Review criteria depend on the product and customization path.
Material & Color Direction
Review the selected straw, fabric, trim and visible color direction under suitable lighting. Natural straw can vary in tone, texture and weave; screen colors may differ from physical materials.
Is the material direction acceptable, and has the expected range of variation been discussed?
Important: A sample is a review reference, not a promise that natural materials will be visually identical across every bulk unit. Acceptable material, color and workmanship tolerances should be confirmed for the order.

Important: Screen previews are not a substitute for physical color and construction review. A printed liner does not establish UPF or another sun-protection rating unless separate evidence supports that claim.

Share Enough Detail for an Accurate Sample Review
You don’t need every specification to start a conversation. The more context you provide, the easier it is to identify the right sample route and the items that still need confirmation.
1. Hat Style or Reference
Share a TerraHats product link, product name, reference image, sketch or short description. If you haven’t selected a style, tell us the intended wearer and use.
2. Sample Decision
Tell us whether you want to review the base style, logo, printed under-brim, private label presentation or another physical detail. Select “Not Sure” for guidance.
3. Target Bulk Quantity
Provide an estimated quantity or range. This places the sample in context without treating the estimate as a confirmed purchase quantity.
4. Customization Direction
List the logo method, material, color, trim, label and packaging requirements you already know. You may also attach brand guidelines or reference images.
5. Size Range or Wearer Group
Identify whether the program is for adults, youth, children, mixed groups or another wearer profile. Include measurements in inches when important to the project.
6. Destination and Target Date
Share the delivery country, postal code where available, and target date or buying window. These frame sampling and shipping discussions, without creating a confirmed schedule.

Vector artwork is preferred when available. PNG or JPG files can still be submitted for initial review. Select “I need artwork guidance” if your file isn’t ready.

TerraHats reviews the available product information, requested materials, decoration, labels, packaging and artwork. Questions or alternatives may be raised where clarification is needed.

3. Confirm the Sample Quotation
Before sample work begins, review the written scope, any sample fee, estimated timing, shipping arrangement and applicable credit/refund terms.

4. Review the Digital Mockup Where Applicable
Check the artwork direction, scale, placement and orientation. Approval confirms the visual direction covered by that preview; it does not replace physical sample review.

The applicable sample is prepared according to the confirmed scope. Availability and timing depend on the selected product, materials, components and approved artwork.

Use a structured checklist to review shape, material, measurements, branding, labels, trims and packaging included in the sample. Consolidate feedback before requesting changes.

Record the approved sample reference, measurements, material direction, artwork version, decoration, labels, trims, packaging and any accepted variation.

Process Note: A change to materials, artwork, measurements, labels, packaging or quantity after sample approval may require a new review, revised quotation or additional sampling.
Understand What Is Confirmed for Each Sample Project
Sample terms vary because a reference product, embroidered logo, printed under-brim and private label
package do not require the same materials or development work. Applicable details are confirmed in writing for the selected project.
How Is the Sample Fee Confirmed?
The sample quotation identifies the scope being reviewed and any applicable fee before work begins. The fee may reflect the selected product, materials, decoration, labels, packaging, tooling or additional development required.
Sample cost is confirmed after the selected style and requirements are reviewed.
Can the Sample Fee Be Credited or Refunded?
Any applicable credit or refund must be stated in the approved sample quotation. Where a credit is offered, review which fee components qualify, the required bulk-order conditions and any applicable validity period.
Do not assume a sample-fee credit or refund unless it is confirmed in writing.
When Does the Sampling Schedule Begin?
The quotation or written confirmation should identify the estimated timing and the event that starts the schedule. Depending on the project, this may require confirmed requirements, approved artwork, payment or material availability.
Sampling timing is confirmed after the requirements and artwork have been reviewed.
What If Revisions Are Needed?
Digital revisions and a new physical sample are different scopes. Submit consolidated feedback and confirm whether the requested change can be handled digitally, adjusted in the current sample, or requires additional sampling.
Revision scope, cost and timing are confirmed by project.
How Is Sample Shipping Arranged?
The shipping method, destination, applicable cost and use of any buyer courier account are confirmed separately. Import duties and taxes, where applicable, depend on the destination and shipping terms.
Sample shipping is not included unless the written quotation or confirmation states that it is included.
Why Are Exact Terms Not Listed as a Universal Rate?
Hat construction, artwork, materials, labels, packaging and destination can change the work required. Project-specific confirmation gives the buyer a clearer basis than a universal promise that may not apply to the selected sample.
Approve the Sample and Specification Together
A physical sample is most useful when connected to a written specification. The approved sample shows the physical direction; the specification records details that may not be clear from the sample alone.
Product Reference
Record the product name, style reference or agreed construction used for the sample.
Material and Color Direction
Record the selected material, visible color direction and any accepted natural variation or production tolerance.
Measurements and Size Plan
Record the applicable head circumference, crown depth and brim dimensions in inches, size labels and intended quantity split.
Artwork and Decoration
Record the approved artwork version, logo method, size, position and color direction — not only an email attachment name.
Labels, Trims and Packaging
Record label content and placement, functional components, hangtags, stickers, individual packing and other approved items.
Approval Record
Record the approver, approval date, sample photos or physical reference, open deviations and the communication used to confirm approval.
Production Reference: The approved sample and confirmed specification are used together as the production reference. Changes requested after approval may affect cost, timing or the need for additional sampling.
Natural Material Note: Natural straw can vary in tone, texture and weave. Agreeing an acceptable range for the selected order is more accurate than expecting every unit to look visually identical.

Which Type of Hat Sample Should I Request?
Choose a blank or reference sample when your first decision is the base style, construction, material direction or size. Choose a logo sample when you need to review a patch, embroidery or print result. Choose a printed under-brim sample for artwork alignment and physical brim review. Choose a private label sample when labels, trims, hangtags or packaging need to be assessed together. If you are not sure, submit the known project details and select Not Sure.
Can I Request a Sample Before My Artwork Is Final?
Yes, you can begin by discussing the style and project requirements. A customized physical sample requires artwork that can be reviewed for the intended production method. Upload the best file you have or select I need artwork guidance so the next file requirement can be identified.
Is a Digital Mockup the Same as a Physical Sample?
No. A digital mockup is a visual preview for artwork direction, scale and placement. A physical sample allows you to review the applicable material, construction, measurements, decoration and visible workmanship. A digital mockup does not replace physical sample review when those details affect the buying decision.
How Much Does a Custom Hat Sample Cost?
The cost is confirmed after the selected style, materials, artwork, decoration, labels, packaging and shipping requirements have been reviewed. Any fee will be stated in the sample quotation before work begins.
Can I Request Only One Hat for Personal Use?
TerraHats sample review is designed to support potential custom and bulk purchasing programs. Share your business type, intended order quantity and project purpose so the request can be evaluated in the correct commercial context.
How Long Does Sampling Take?
The estimated timing is confirmed after the style, materials, artwork and sample scope have been reviewed. The written confirmation should also identify when that schedule begins. A fixed timeframe should not be assumed before these details are settled.
Can the Sample Fee Be Credited to a Bulk Order?
Only when the approved sample quotation states that a credit applies. Review the eligible fee components, bulk-order condition, validity period and any other requirement included in the written terms.
What Happens If I Need Changes After Reviewing the Sample?
Send one consolidated feedback list with clear references to the affected details. TerraHats will review whether the change can be handled through an artwork update, a sample adjustment or an additional physical sample. Any effect on cost or timing is confirmed before the additional work proceeds.
Does Approving a Sample Start Bulk Production Automatically?
No. Sample approval establishes the applicable physical and specification reference. The final bulk quantity, price, size allocation, schedule, inspection requirements, packing and shipping arrangements still need to be confirmed before bulk production begins.
Will Every Natural Straw Hat Look Identical to the Sample?
Natural straw can vary in tone, texture and weave. The sample and confirmed specification should be used to agree the intended construction and acceptable range rather than to promise that every natural fiber or finished unit will look identical.
